Account Register

This function allows you to set up the account codes that will be used throughout the System. If you have the appropriate access rights, you will also be able to modify and delete account codes.

Account codes are used to denote sub cost centres that are typically used in payroll and in personnel travel activity records. These codes are defined during implementation and consistently built up. This then serves as a reference for end users to streamline day-to-day operations. Account codes can be created in the register as and when required to fit the day-to-day operations. By having this pre-defined register, it will be more convenient to run reports and database queries.

Creating Account Codes

To create account codes:

1. From the HR Manager main menu, click Registers under the Home - Administration sub menu. Then, click General, followed by Account.

2. The account codes that have been previously created will be displayed on the screen. To create a new account code, click New.

3. On the Account screen, enter information in the following fields:

Field

Description

Account

Enter the new account code.

Description

Enter a description for the new account code.

Function Type

Use the Lookup function to select the function type of the account.

Balance Sheet

If this check box is selected, this account code will be available for use as a Balancing Account Code in the Payroll Setup.

4. Click Save to complete the creation of this new account code.

 

 

Editing Account Codes

To edit existing account codes:

1. From the HR Manager main menu, click Registers under the Home - Administration sub menu. Then, click General, followed by Account.

2. The account codes that have been previously created will be displayed on the screen. To edit an existing account code, click on an entry to view its details on the Account screen.

3. You may then edit the details of the account code in the available fields. Please note that the main Account field cannot be edited.

4. Click Save to save the changes you have made.

 

 

Deleting Account Codes

To delete existing account codes:

1. From the HR Manager main menu, click Registers under the Home - Administration sub menu. Then, click General, followed by Account.

2. The account codes that have been previously created will be displayed on the screen. To delete an existing account Code, highlight an entry on the screen.

3. Click Delete. Confirm your intention to delete the account code. The account code will then no longer be listed on the screen.

Note: Alternatively, you can click on an account code to view its details on the Account screen. Click Delete and confirm your intention to delete the account code.
