Generating a Crew Matrix Report

This feature allows you to generate a report on the qualification of Officers/Engineers who are currently onboard a vessel. This is especially useful to perform a check if the crew members who have signed on have adequate experience as required for work onboard a Vessel. This report will only take into account the rank of Officers/Engineers. The details displayed in this report are based on the Crew Matrix Report Setup.

Generating a Crew Matrix Report

To generate a crew matrix report:

1. From the HR Manager main menu, click Crew Matrix under the Fleet menu.

2. The Crew Matrix screen is displayed.  

 

3. Use the Lookup function to select the Vessel for which you want to generate this report.

4. In the Date field, select the date the crew members are/were onboard the vessel.

5. In the Rank field, select the Ranks (by highlighting them) that you want to include in the report.

Note: If you select the Show Total check box, then, when the Report is generated, notice that the last column in the report will now display the sum of each row in the report.

6. Click Generate. You then have the option to either Open the File directly or Save the file to your local computer. Select the appropriate option. The file will be generated in Microsoft Excel:

The first table will contain qualification details for Officers while the table below it contains qualification details for the Engineers.

 

This table provides you with help on the fields displayed in the report:

Field

Description

Nationality

The nationality of the crew members as derived from his Profile record.

Certificate of Competency

The Certificate of Competency held based on his rank. This information is retrieved from the crew member's License records. If he holds the license as defined in the 'Certificate of Competency' table in the Crew Matrix Report Setup, then it will be displayed in this report.

Issuing Country

The country the license was issue. This is derived from the crew member's License record.

Administration Acceptance

In the Personnel - Profile - Additional Info screen, if the crew member has a record listed where 'Administration Acceptance = YES', then this field in the report will display a 'YES'.

Tanker Certification

Displays whether the selected vessel falls under the Oil Tanker or Chemical Tanker type. This is set up in the Vessel Type for Oil Tanker and the Vessel Type for Chemical Tanker tables in the Crew Matrix Report Setup.

STCW 95 V, para. 1 or 2

for current cargo

Displays whether the crew member has the relevant certifications as listed in the STCW 95V Setting tables in the Crew Matrix Report Setup. The relevant information is retrieved from the crew member's License and Training records. The system will first check the records in the following sequence - para 2 License, if not held, then para 2 Training, if not held, then para 1 License and if that is also not held then para 1, Training.

Radio qualification

This field will display 'GOC' if the crew member has the certification as listed in the Radio Qualification Setting field in the Crew Matrix Report setup.

Years with operator

The number displayed here is based on the Employment Information available in the crew member's Profile record.

Years in Rank

The number displayed here is based on the number of years of External Experience as well as the number of years of SAIL activities with the current company that the crew has in that Rank.

Years in Rank (as OOW)

The number of years displayed is based on the number of years the crew member sailed while holding the Ranks listed in the Officer Rank for OOW or Engineer Rank for OOW as defined in the Crew Matrix Report Setup.

Years on this type of tanker

The number displayed here is based on the number of years of External Experience as well as the number of years of SAIL activities with the current company that the crew has when sailing on the currently selected Vessel Type (i.e. based on the Vessel Type of the selected Vessel when generating the report).

Years on all types of tanker

The number displayed here is based on the number of years of External Experience as well as the number of years of SAIL activities with the current company that the crew has when sailing on Vessels Types denoted as 'Tankers'. The Vessel Types denoted as 'Tankers' are those as listed in the Vessel Type for Tankers table in the Crew Matrix Report Setup.

Vessel Joining Date

This is derived from the crew member's current SAIL activity's Sign On date.

Proficient in English

This is derived from the crew member's Profile record - Personal Information.

Transferring Crew Matrix to Q88

Prerequisites for using this feature are:

To transfer the officer crew matrix to Q88:

1. From the HR Manager main menu, click Crew Matrix under the Fleet menu.

2. The Crew Matrix screen is displayed.

 

3. Use the Lookup function to select the Vessel which the crew members are/were onboard.

4. In the Date field, select the date the crew members are/were onboard the vessel.

5. In the Rank field, select the Ranks (by highlighting them) to include as requested by Q88.

6. Click Q88. The Q88 Crew Matrix screen will be displayed.

 

7. Make any changes to the details of the crew members as necessary, then click Update Changes to save.

8. Click Send to transfer the crew matrix to Q88.

The System will convert the generated list to an XML file and prompt Q88's web services to retrieve the file. The Q88 website will subsequently be automatically updated with information received for that vessel.

 

On Q88's website, Q88 users can launch the officer matrix and select the vessel to view the officers onboard along with their competencies and experience levels that were transferred from BASSnet HR Manager.
